Your exceptional organizational skills and proactive approach will be pivotal supporting our management team. Serving as their valuable and reliable right-hand you are enabling them to focus on important tasks at hand, ensure efficient communication and smooth functioning of the workplace.

A challenging task

  • Takeover and management of medium-sized projects in office management
  • Taking on administrative and organisational tasks
  • Contact person for external stakeholders and service providers (e.g. landlord, company doctor, occupational safety specialist, insurance broker)
  • Coordination of projects (e.g. office remodelling, offer of leased bicycles)
  • Occupational health and safety, in particular participation in meetings with external occupational safety specialists and safety officers
  • Planning and implementation of campaigns to maintain health (e.g. vaccination appointments, check-ups, blood donation campaign, etc.)
  • Coordination of leased vehicles
  • Scheduling appointments and travelling for the managing directors, planning company and advisory board meetings and preparing the associated presentations
  • Deputising for the assistant managing director

A convincing background

  • Vocational training preferable in a professional field such as office administration or other commercial trainings
  • Proven experience as an executive assistant or comparable administrative role.
  • Exceptional organizational and time management skills with the ability to remain calm and levelheaded in hectic times.
  • Excellent verbal and written communication skills in English and German, with strong attention to detail.
  • Proficiency in usings MS Office tools (Word, Excel, PowerPoint) and other collaboration software.
  • Demonstrated ability to handle sensitive and confidential information with tact and discretion.
  • A proactive and self-motivated attitude with the ability to work independently as well as as part of a team.
